Out of Office Policy
Communicating time away from the office. Clear and proactive communication ensures your time off is respected while your team can smoothly handle tasks in your absence.
2+ Weeks Before Your Planned Time Off
- Notify your manager: Send a quick note to your direct report manager about your upcoming absence.
- Log your time off on the shared calendar: Add your Out of Office (OOO) to the team’s OOO calendar.
- Include your manager in the event: This ensures they have visibility of your plans and can plan accordingly.
- Assign coverage: Identify someone (or multiple people) to take over urgent tasks or manage communications while you are away.
1 Week Before Your Absence
- Remind your team: Send a reminder to your team or department about your upcoming absence and where to direct questions or communications in your absence.
- Set up OOO notifications: Create auto-responders on email and Slack (or other internal communication tools) with the key details: dates out and point of contact.
- Direct communications: Internally and externally, notify key contacts of who will be covering in your absence.
The Day Before You Leave
- Final check-in with your designated backup(s): Remind them when you’ll return and share any last-minute information or relevant updates they should know.
- Tidy up outstanding work: Handle any loose ends and ensure your tasks are organized for an easy handoff.
